What is a Certificate of Employment?
A Certificate of Employment proves an individual's work history with a specific employer in England and Wales. It typically shows the job title, employment dates, and key details about the role. Many UK employers provide these certificates when staff members leave their positions or when a former employee submits a request for one to support a new job.
Beyond basic job verification, these certificates help with visa applications, mortgage lending, and benefits claims. While not legally required, they follow UK employment law guidance on providing accurate references, and they draw on the continuous employment rules in the Employment Rights Act 1996. Most contain only factual information to avoid potential disputes, though some employers may include performance details when an employee specifically requests them.
Sample clauses: standard wording in a UK certificate of employment
3. Scope of Confirmation
3.1 The Employer confirms that [EMPLOYEE NAME] was employed by [EMPLOYER NAME] as [job title] from [start date] to [end date], and that the Employee's continuous employment for the purposes of section 210 of the Employment Rights Act 1996 began on [continuity date].
3.2 This Certificate states matters of fact only, comprising job title, dates of employment, principal duties and, where expressly requested in writing by the Employee, gross annual salary at the date of termination.
3.3 This Certificate does not comment on the Employee's conduct, capability or performance, does not constitute a reference or recommendation, and no such comment or recommendation is to be inferred from any omission.
3.4 The reason for the termination of employment is stated only where the Employee has requested it in writing and the Employer has agreed in writing to include it.
4. Accuracy, Reliance and Liability
4.1 The Employer has taken reasonable care to ensure that the statements in this Certificate are accurate and not misleading as at [date of issue], based on the records held by the Employer at that date.
4.2 This Certificate is issued to the Employee for the Employee's own use, and the Employer accepts no duty of care to, and no liability towards, any third party who relies on it, save that nothing in this clause limits liability for fraud or fraudulent misrepresentation, or for death or personal injury caused by negligence.
4.3 The Employer processes and discloses the Employee's personal data in connection with this Certificate in accordance with the UK GDPR and the Data Protection Act 2018, and will not disclose this Certificate to a third party without the Employee's written consent unless required by law.
4.4 If the Employee notifies the Employer of a factual error, the Employer shall investigate and, where the error is confirmed, issue a corrected Certificate within [10] working days.

Frequently Asked Questions
When should you use a Certificate of Employment?
You need a Certificate of Employment when applying for new jobs, especially in regulated UK industries like financial services or healthcare. Many employers request this proof of work history as part of their background checks, so it helps a hiring team know exactly what experience and responsibilities an individual held at previous companies.
Banks and mortgage lenders often require these certificates to confirm employment status and income. They're also essential for visa applications, professional licensing, and benefits claims in England and Wales. If you want to request one, contact your former employer or their HR service before you leave a job, as tracking down documentation from past employers later can be challenging.

| Content scope | Confirms factual details like dates and position | Includes subjective assessments of performance and character |
| Legal status | Formal document often used for official purposes | Typically an informal recommendation |
| Purpose | Proof of employment for banks, visa applications, or legal requirements | Aims to help secure future employment |
| Format | Standardised format with specific required elements | Varies widely in structure and content |
